New employees
This page should guide new team members at ETH through several administrative topics.
- Key: Your ETH card works as your entry card to the building. You'll need to set a code to be able to enter the building on weekends. In addition, you can request a physical key with Monica Heinz (see contacts) to be able to open the office doors when they're locked.
- Laptop: Your lab lead will make sure your new laptop will be set up and ready when you start. They will usually ask you for the laptop you would like to work with (check out external page Project Neptun, where we can get good deals, and ask your lab lead for budget limits).
- Email, Mailing lists & Calendars: Kindly ask Liz (see contacts) to include you on the relevant mailing lists. Share your Outlook calendar with your team.
- Email Signature: Please set up your email signature according to the ETH corporate design guidelines. Make sure to set your position appropriately. For new PhD students, it should be "Ph.D. candidate and doctoral researcher". (Do not call yourself "senior researcher" or similar.)
- Phone: If you don't have a phone yet, contact Monica. She should be able to help. Make sure your details are up to date in the ETH eAdressen system
- Business Cards: You'll need to order business cards yourself through the ETH print center, and you can add the costs as expenses.
- Expenses: Ask your lab lead or team about how to request a refund for your expenses. Some teams will use the ETH SAP system to do this, others might use an Excel spreadsheet.
- Picture: If you don't have a professional picture of yourself for our team web pages, please go and have one taken. You can hand this in as an expense.
- Office Materials: We have a lot of office materials in the closet next to Monica's office on the WEV J floor. If you require something that is currently unavailable, Monica might be able to help. In addition, you can get materials from SAB Shop on Polyterrasse, ETHZ Zentrum, and expense them afterwards
- PhD studies: You need to officially register your PhD studies (even if you already have a contract for your position at MTEC). You will then have a dual position, both as a staff member and student.
- PhD courses: Make sure to find out how many credit points you need to earn as part of your doctoral studies and whether there are mandatory courses you need to take, see https://www.mtec.ethz.ch/education/doc/index_DE
- Printers: We have a printer in WEV G233. To set it up, either consult the MTEC IT Desk's support website or ask them directly for help (see contact)
- Meeting rooms: You can make reservations for meeting rooms at WEV directly via Outlook. You can directly book rooms no. 26, 27, 105, 106 and 414 yourself. For rooms no. 109-112 and 325 please contact Monica.
- Dropbox: If your team is using Dropbox, you can install dropbox and get extra storage space (e.g. 50GB), and then expense the costs to the lab. Ask someone to give you access to your team's folders.
- PPT/Word templates: Ask your team to give you access
- Important Dates: There are a couple of events that you must not miss. Those include two doctoral seminars (DokSem) per year, and the annual seminar. Also, you should try to attend the Christmas dinner, skiing event, and summer party. Ask Liz to forward her the list of holy dates ("Heilige Termine")
- Admin duties: Irena is in charge of allocating the admin tasks to the PhD students. She'll distribute the list regularly. Be prepared to review some exams around summer time and check the deadlines before you book any holidays.
- im.ethz.ch: Please ask your colleagues who is currently responsible for adding you to the team list. Before you do this, please first fill out your info on eAdressen, from where your data will be pulled automatically (see next point)
- eAdressen: Please fill out your contact details and upload your photo.
- cocoa: Our internal publication database (IM chair only), please keep this up to date yourself, in particular before DokSems and your yearly discussion with Elgar (Mitarbeitergespräch). Ask your colleagues who is currently responsible for creating new accounts.
- Research Collection: Similarly to cocoa, please keep your publications up to date here. Your profile page on im.ethz.ch will read publications from the Research Collection.
- myStudies: Sign up for PhD courses here
- IT Shop: You can order additional software (e.g. SPSS, MS Office) here.
- MTEC IT Support websites: This is a useful resource for various IT topics, created by the MTEC IT Desk (located in WEV)
